Welcome to the Fleks Recruitment Module Manual This module is designed to streamline the registration process for applicants directly from your organization’s website.

What is the Fleks Recruitment Module?

The Fleks Recruitment Module is a powerful tool that helps your organization easily create a customized application form. This allows you to collect exactly the information needed during the recruitment process.

The module is fully integrated with Fleks Planning, meaning that hired applicants are automatically added to your system and receive an onboarding email. New employees can then immediately log in and sign up for available shifts.

The module is accessible via app.recruitment.fleks.works.

Step-by-Step Guide: Getting Started with the Recruitment Module

Step 1: Request an Account

Request an account through Fleks.
Fleks will link your new Recruitment Module to your existing planning environment.

Benefits of the integration:

  • Hired applicants automatically receive an onboarding email.
  • New employees gain immediate access to Fleks Planning.

Step 2: Adjust Company Settings

  1. Log in to app.recruitment.fleks.works.
  2. Navigate to Settings and customize the following elements:
    • Company colors and logo: For a personalized look.
    • Email sender name: The name visible to applicants.
    • Reply email: Use a general HR email address (e.g., hr@organization.com).

Note: The reply email is used for all notifications, including alerts about new applications.


Step 3: Create a Job Role

  1. Click Create New Role in the module.
  2. Configure the role with relevant information, such as:
    • Job requirements (e.g., security pass, hospitality experience).
    • Specific qualifications or training.

Step 4: Write a Job Posting

Compose an engaging job description:

  • Outline job requirements, benefits, and expectations.
  • Include references to important documents or certifications.
  • Ensure the text aligns with your organization’s branding.

Step 5: Set Up the Application Form

  1. Add fields for basic information and additional details.
  2. Link open fields to Fleks Planning so information about hired applicants is automatically accessible.
  3. Set up standard emails, such as:
    • Thank-you emails for applications.
    • Requests for additional documentation after an interview.

Step 6: Publish the URL on Your Website

  1. Publish the role.
  2. Receive two unique URLs:
    • One for the job description.
    • One for the application form.

Integrate the URLs on your website:

  • Use only the application form URL if you have your own job posting page.
  • Use both URLs if you want to display the Fleks job description as well.

Step 7: Manage Applicants in Fleks Recruitment

  1. Applicants will appear under the status "Applied".
  2. Link Calendly for scheduling interviews (status: "Interview").
  3. Manage applicants by dragging them to:
    • Rejected: Send a rejection email (customizable).
    • Hired: Add qualifications, training, or roles to their account in Fleks Planning.

Helpful Tips and Integrations

Connect Calendly:

  1. Go to Settings → Integrations → Calendly.
  2. Use a free Calendly account to allow applicants to easily schedule interviews.

With the integration, it’s possible to enable interview scheduling directly from the application form:
